Terms and conditions for the campsite

Welcome to Wallingford Sports Park and BunkFest 2024

Please read the campsite terms and conditions below to ensure we all have a good time.

The following Terms and Conditions relate to the temporary campsite at Wallingford Sports Park, Hithercroft Road, Wallingford, OX10 9RB, which will be available from 2pm Thursday 29th August, to midday, Monday 2nd September 2024.  This period covers all of the BunkFest events held in the Town and the Sports Park.  The campsite organiser is Wallingford Sports Trust, (the “Organiser”).

Camping at the Campsite whether in a tent, caravan, motorhome or camper van, is subject to and conditional upon the following Terms and Conditions:

  • Your Campsite booking.
    • By booking to stay at the Campsite as detailed on the bunkfest.co.uk website you represent and warrant to the Organiser that you have full legal authority and capacity to accept these terms and conditions, on behalf of yourself and/or, where applicable, any party for whom you are registering, including full authority to make use of the credit or debit card to which the fees related to the booking will be charged. If registering a child under the age of 18, you represent that you are the parent or legal guardian of that child, or that they have the parent or legal guardian’s prior written consent.
    • You, as the person making the booking, agree to abide by the following Terms and Conditions and to bring these Terms and Conditions to the attention of any of your guests. The Organiser reserves the right to accept or decline bookings entirely at its discretion. Your contract with the Organiser will begin when you receive an automated confirmation email from the Organiser, following completion of a transaction through the online payment system. Your contract with the Organiser will be on the terms set out in these Terms and Conditions.
    • You, as the person making the booking, will be responsible for all members of your party and are responsible for bringing these terms and conditions to their attention. Children under the age of 18 must be accompanied by an adult.
  • Paying for your campsite booking
    • You must pay the Organiser the total amount payable for your booking at the time of booking on the BunkFest website registration platform.
    • The Organiser accepts payment by approved debit card or credit card only.
  • Campsite Information
    • All necessary information pertaining to the Campsite is published on bunkfest.co.uk/camping/. It is your responsibility to ensure that you have accessed the relevant information.
      3.2 Details of Campsite check-in procedures will be outlined in the Camping information document. Please ensure that you and your party familiarise yourselves with and adhere to the rules in this information document and as set out in these Terms and Conditions.
  • General Campsite rules

• On arrival, campers are required to report to the Campsite Office at the Sports Park entrance, where vehicle permits and wrist bands will be issued which must be displayed and worn at all times.

• No Dogs are permitted anywhere on site, except for assistance dogs.

  • No open campfires or barbeques are permitted on the Campsite.
  • Servicing chemical toilets must only be done at a chemical disposal point.
  • Ball games, frisbee, cricket and any games that may interfere with the enjoyment of others are not allowed in the vicinity of units.
  • You must keep the Campsite clean and tidy. All rubbish must be cleared and put into rubbish bins on the Campsite.
  • You must not use the Campsite, or allow it to be used, for any dangerous, offensive, noisy, illegal, or immoral activities.
  • You must not cause any nuisance or annoyance to Campsite guests or staff during your stay on the Campsite. No music may be played after 10.30pm.
  • There is 24-hour security, during the day this will be performed by marshals and between 8pm and 8am, by security staff. You may be subject to security checks on Campsite that will include checking vehicles for permits and campers wearing wrist bands. Any vehicle without a permit and person(s) without a wristband will not be allowed access or ejected from the Campsite.
  • The organisers cannot be held responsible for any personal property left unattended on the campsite.
  • The following items are prohibited from the Campsite: any item which may be interpreted as a potential weapon including sharp or pointed objects (e.g. knives, large corkscrews), pyrotechnics and “personal protection” sprays; – fireworks, Chinese/flying lanterns, flares, the burning of plastics, generators, glass containers, portable laser equipment including laser pens or any illegal or offensive items or substances; the flying of model aircraft, drones and kites. Any such items will be confiscated and handed to Campsite security staff for disposal and individuals in possession of such items may be refused entry to or ejected from the Campsite.
  • If the Campsite is damaged by you or your party during your stay, the Organiser has the right to recover the cost of the damage from you.
  • For your safety, we have a “six-meter rule” which means that units (excluding guy ropes) must be 6 meters apart from adjacent units in order to protect against fire;
  • The unit (along with any ancillary equipment) must fit within the confines of your pitch whilst maintaining the 6-meter rule. If this cannot be achieved, you may need to purchase an additional pitch (if available) or remove the ancillary equipment.
  • Toilet tents may only be erected within the confines of the pitch.
  • All loose equipment needs to be stored within the confines of your unit.
  • You may park your vehicle between units, provided that 3m clear space is left within the 6m gap.
  • When leaving, every care should be taken to remove all tent pegs carefully.
  1. 5. Right to evict

5.1 The Organiser is entitled to refuse admission or re-admission to, or to eject from, the Campsite any person(without any compensation being payable), including if:

  • the Organiser considers that you or your party have committed a breach of these Terms and Conditions.
  • the Organiser considers that your or your party’s behaviour endangers the safety of Campsite guests or staff.
  • the Organiser considers that your or your party’s behaviour prejudices the image, reputation or goodwill of the Event, the Organiser.
  • you or your party engages in unacceptable or anti-social behavior.
  • your or your party is rude or abusive to Campsite guests or staff.
  • you or your party causes damage to the Campsite (fair wear and tear excluded).
  1. No refund

6.1 If the Organiser cancels your booking because of circumstances beyond the reasonable control of the Organiser including, without limitation, (i) acts of God, flood, drought, earthquake or other natural disaster; (ii) epidemic or pandemic; (iii) terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations, or threats thereof; (iv) nuclear, chemical or biological contamination or sonic boom; (v) any law or any action taken by a government, public authority or governing body, including without limitation imposing any advice or restriction against events or gatherings, export or import restriction, quota or prohibition, or failing to grant a necessary licence or consent; (vi) collapse of buildings, fire, explosion or accident; (vii) any labour or trade dispute, strikes, industrial action or lockouts; (viii) non-performance by suppliers or subcontractors (including any venue); and/or (ix) interruption or failure of utility service (“Force Majeure”); then you will not be entitled to a refund of the booking amount paid by you. You will not be entitled to compensation of other losses, such as travelling expenses.

  1. Changes to your Campsite booking

7.1 If you want to change any detail of your confirmed booking you must let the Organiser know by email (Email address) as soon as possible (and no later than the first day of your stay) and include details of the requested changes. The Organiser will try to accommodate your changes; however, the Organiser cannot guarantee that it will be able to make the requested changes.
